I had a client recently whose biggest issue was that users would get to the product dashboard and just... not know what to do. This is one of the most common problems I see in my consulting work, and it's almost never what the client thinks it is. They assume users need tutorials. They need tooltips. They need a help center with FAQ articles. What they actually need is scaffolding.
They Informed Users First Before changing anything, Instagram showed an announcement right inside the feed. "Swipe between Reels and messages." The banner explained the upcoming navigation update with a short sentence, a clean visual, and a "Learn more" button. It didn't interrupt your session. It didn't feel forced. It invited curiosity. That alone is a big shift in mindset, from forcing change to introducing change.
And don't get started on features before figuring out why you require a CRM. Are you attempting to monitor customer contacts? Wish to make emails and tasks efficient? Do you take donations, volunteers, or register events? As you clearly define your needs, you will easily rule out overkill systems that are too complicated and focus on the tools constructed to suit your needs. One that fits your everyday activities better than having a dozen complex features you will not use anyway.
