In conference event planning, setting the date is crucial. Make sure your event doesn't fall during the holiday season or any particular national, local or domestic cultural celebrations. This way, you can presume that most of your audience won't be hindered due to these reasons.
Consider the best location based on where your audience is originating from. Are they local, regional, or international? Think about capacity and accessibility for attendees and proximity to airports or hotels. You should also check that your location is accessible for people with disabilities.
I often see event organizers who are pretty bold or pretty small in their expectations of the number of attendees. So, always be realistic. If you are not Taylor Swift or you are not organizing Coachella, a big venue with a lot of free space is probably not the right place. Even if your event is sold out, big rooms will always look half-empty.
